This privacy policy explains how Open Systems Lab ("we", "us”) collects and uses personal information when you contact us or sign up to our mailing list through fairhold.org.
Who we are
Open Systems Lab is the data controller for the personal information described in this policy.
What we collect
When you contact us, via a form on this site, we collect the information you provide, typically your name, email address, and the contents of your message. Our forms are built using Typeform, so this information is submitted to and stored by Typeform on our behalf.
When you sign up to our mailing list, we collect your email address, name and any other information you provide for that purpose.
How we use it
We use enquiry information only to respond to you and to communicate about your enquiry. We use mailing list information only to send you the updates you've signed up for.
We don't use either for any other marketing purpose, and we don't use enquiry information for mailing list marketing unless you've separately signed up.
Legal basis
We rely on legitimate interests to respond to enquiries you send us. We rely on your consent for the mailing list. You can withdraw this at any time by unsubscribing (a link is in every email) or by contacting us.
Who we share it with
We don't share your information with third parties, except:
- Mailchimp, who manage our mailing list
- Typeform, who process form submissions on our behalf as a data processor.
- other providers who process data on our behalf for our own internal operations (e.g. email or office software), bound by their own confidentiality and data protection obligations.
We do not sell or share your information with third parties for their own marketing purposes.
How long we keep it
We don't currently have a fixed retention period for enquiry information. Mailing list information is kept until you unsubscribe or ask us to delete it. You can ask us to delete your information at any time (see "Your rights" below).
Cookies and analytics
This website doesn't use analytics or tracking cookies that we've set up ourselves. It's built on Webflow and uses Typeform for forms, both of which may set a small number of essential cookies needed for the site and forms to function. We're not currently using any optional analytics features from either platform. If this changes, we'll update this policy and, where required, ask for your consent.
Your rights
Under UK GDPR, you have the right to:
- ask what personal information we hold about you
- ask us to correct inaccurate information
- ask us to delete your information
- object to how we're using it
- ask us to restrict how we use it
- withdraw consent (for the mailing list) at any time

If you're unhappy with how we've handled your information, you can complain to the Information Commissioner's Office (ICO) at ico.org.uk.

We may update this policy from time to time. The date at the top shows when it was last revised.
